How to understand a private jet charter quote

By Libra International · Libra Jet desk ·

To compare private jet quotes for an international itinerary, start with the complete journey: stops, timing, passengers, baggage and the services you need. Then check the proposed aircraft, the operator’s identity, what is included and the conditions for confirmation. Compare the amount payable for an option that fits your mission, together with any additional charges and practical constraints.

This guide helps you prepare a clear enquiry and review proposals with your adviser. It is also for assistants arranging travel for an executive, a family or several passengers.

  • Give each contact the same flight brief so the proposals can be compared.
  • Ask what is included, what remains to be confirmed and what could change the amount.
  • Clarify availability, payment conditions and the consequences of a change to the itinerary.

Describe the mission before choosing an aircraft

A quote begins with cities, dates and timing. For an international journey, include intermediate stops, the planned time at each destination and any return constraints. A meeting with a firm arrival deadline should be mentioned in the first enquiry.

Explain whether the timing is fixed or you can move a departure. If you prefer a particular airport, say why: the meeting address, a connection or proximity to your accommodation. Your adviser can assess that preference alongside the other elements of the trip. Whether an airport can be used still needs to be confirmed for the requested flight.

Passenger numbers alone do not describe the cabin you need. Include baggage, equipment and comfort priorities, such as space to work, rest or particular catering requirements. The aircraft categories presented by Libra Jet can help you begin the discussion. The proposed model must suit the actual journey and be available for it.

Understand the adviser, broker and operator’s roles

It helps to know who prepares the proposal and who performs the flight. In its official company presentation, IBC Aviation describes its charter activity and partnerships with operators. Its general conditions state that IBC Aviation is not the aircraft operator and distinguish the broker from the independent carrier that performs the flight.

Libra Jet coordinates private aviation enquiries and represents IBC Aviation in Dubai and Fujairah. Your commercial contact may therefore be different from the selected operator. Ask when the operator’s identity and aircraft will be specified, and who handles passenger information, changes and updates during the journey.

Also ask how crew arrangements are covered in the proposal. For a stay between flights, clarify how the waiting period and return are planned. If the itinerary changes, your adviser should be able to have those arrangements reassessed with the operator and explain the implications for the options offered. Include this point when comparing alternatives for a longer stay.

A proposal should help you understand those responsibilities. You can also meet the Libra International team to identify your contacts. Presenting a range of cabin categories does not, by itself, establish that a brand owns the aircraft.

Read the amount alongside the included services

Compare proposals item by item against the same itinerary. An option including passenger reception and ground transport answers a different brief from one covering only the flight. Clear inclusions matter as much as the amount shown.

Request an understandable breakdown or, at least, a list of included and excluded services. Every cost does not have to appear on a separate line for you to receive a clear explanation of what is covered.

Points to check in an international charter proposal
ElementQuestion to askWhy it matters
Aircraft and cabinWhich model, configuration and baggage capacity are proposed?Check that the options meet the same needs.

ConfirmationWhat validity, availability and payment conditions apply?Understand how to accept the proposal.

For a helicopter connection in Dubai, ask whether the transfer appears in the same quote or a separate proposal. Timing, landing points and ground arrangements need to be considered together.

Identify positioning and elements that may change

An available aircraft may be located somewhere other than your departure city. Bringing it to the first boarding point, and any necessary movements after your journey, can form part of the proposal. Ask what the quote includes for those movements. The detail depends on the aircraft and how the trip is arranged.

A changed brief may require another assessment: a different airport, a later departure, an additional stop or a different baggage load. Clarify how a requested change will be assessed and communicated before you agree to it.

For an assistant, a useful habit is to keep a dated reference itinerary in the correspondence. When the journey changes, send a complete updated version with the changes identified. This reduces the risk of comparing proposals that actually cover different missions.

Compare one-way, return and multi-stop journeys

Share the whole programme at the outset, even if you are still considering alternatives. For a return, give the expected date and time window. Ask whether the proposal assumes the same aircraft, another aircraft search or a different arrangement; suitability depends on the stay and availability.

For a multi-stop itinerary, specify passengers and baggage on each leg. Some travellers may join partway through the journey or leave separately. Those details help the adviser assess a coherent option rather than treating each flight as an isolated request.

If you want an alternative itinerary, ask for it to be identified separately. You can then compare the implications of an earlier return or an added stop. For a delegation or larger team, group aircraft charter may also be worth discussing.

Ask what is available and what remains to be confirmed

A proposal describes an option to review with its conditions. Ask how long it is valid, whether the aircraft is available at the time of the discussion and what steps confirm the flight. Clarify the applicable terms for a change, cancellation or aircraft substitution.

Hypothetical example, with no price or flight duration. An assistant is preparing a departure from one city, a meeting in a second city and a further stop before the return. The meetings are fixed, but the return timing is flexible. She provides the same itinerary and baggage details to compare two proposals.

The first includes every leg and a ground transfer; the second offers a different cabin configuration and leaves the transfer to be arranged. The assistant asks for the missing details, checks baggage capacity and requests prices covering the same services. She then compares the conditions for confirmation and changes. Neither option is assumed to be available before the adviser checks it.

The same method applies to an urgent enquiry: explain the actual deadline and any flexibility first. Your adviser can then investigate a feasible departure for that mission.

Prepare a brief your adviser can use

Gather the following information before using the Libra Jet flight enquiry form. You can include it in your message and nominate one person to coordinate the replies.

  • Departure and destination cities, preferred airports and any intermediate stops.
  • Travel dates, requested times and the flexibility available on each leg.
  • Fixed appointments and the time you need to be at your final destination.
  • Passenger numbers for each leg, including known changes along the way.
  • Baggage numbers and dimensions, equipment and particular requirements.
  • Cabin preferences, catering and ground transport needs.
  • The return programme and alternative itineraries you want to compare.
  • Your main contact and how to reach them while the trip is being prepared.

Mention any assistance requirement or travel constraint in that first exchange. Then ask which passenger information will be needed and through which channel to provide it. Keep individual documents for the channel agreed with your adviser.

The private jet charter page introduces the service and the enquiry process. A precise itinerary lets your adviser move from that initial information to a proposal for your journey.

The form’s aviation fields cover departure, destination, travel date and passenger count. Use the message for additional legs, preferred times and baggage details. These fields help prepare the first discussion; they do not reserve an aircraft or confirm the flight.

Common questions about a private jet quote

Why can two quotes for the same route differ?

They may offer different aircraft, configurations, services or conditions. Also check that each proposal covers every leg, positioning and the requirements you provided.

Does the quoted amount include every transfer?

The proposal needs to specify this. Ask which ground or helicopter connections are included, which remain to be confirmed and which require an additional quote.

Can I request a quote before choosing an aircraft?

Yes. Describe the itinerary, passengers, baggage and cabin priorities. The adviser can investigate suitable categories and explain the proposed options.

What should I check before confirming?

Review the itinerary, proposed aircraft, services, amount and currency. Clarify the operator, availability, confirmation steps, payment and the conditions for changes or cancellation.

Start with a clear itinerary.
